We'd build one view of every project that shows who owns each job and where it stands, drawn from the tools you already use so it doesn't become a second system. Each job would carry one owner and one next action, and a status update would go out to clients and teammates on a schedule. A sign-off and workload view would show what's waiting on approval and who has room for more.
